At the moment, one of the key things that affect productivity is how we manage our e-mail. If we have thousands of emails (read or unopened) in our inbox, then this has an adverse effect on our productivity. Why? Because:
You're never quite sure if you have read it or not so you are re-reading emails you don’t want to action multiple times (especially if you have notifications on phone, tablet and and you computer).
Important emails can get lost among the dross so it can be difficult to track down the one you want even with great search capabilities built-in to your mail client
It is easy to miss emails if they automatically get moved to clutter or junk folders by mistake
So, the main ways to improve your email productivity is to:
View your inbox as a processing area and either:
do it if will take less then 2 mins
ditch it is you don’t need it anymore
file it away if you are likely to need it at some point
File them away in folders. I personally use the following 6 folders -
Get rid of all notification on every device you own and only go into your mail client when you want to read and process your emails.
It can be hard to sit down and go through the thousands of emails we have accumulated to get to inbox zero. However, it is worth it.
As one of my clients said recently:
